Availability Management – Central Reservations Offices
INNkeeper’s user-friendly availability grid views seamlessly into the future or past with no limitation on the number of resorts, branches or units. Designed to facilitate maximum occupancy, it provides a bird’s eye view of unit availability by reservation status.
Availability may be determined:
- By specified date range
- By the following reservations statuses
- Available
- Provisional - tentative
- Confirmed - no deposit
- Confirmed - deposit paid
- Occupied - several statuses
- Tentative reservations may be viewed as available or booked
Reservations may be placed as:
- Allocations with set release periods
- Group quotes/reservations up to 999 units
- Over-bookings and double bookings
- Waiting list entries
- Non-allocated and pre-allocated, user specified rooms
Internet Reservations – Alternate Distribution Systems (ADS)
WebRes provides the opportunity to market, and provide real-time, on-line internet reservations.
WebRes offers the following real time, on-line facilities using the INNsync data synchronizer:
- user may select property by:
- geographical area
- specified features
- user may check availability by:
- selected property
- selected unit/room type
- specified date range
- system will generate three alternative date options for an unavailable unit type
- on-line deposit transaction processing
- all rates may be managed from the property or the central reservations office
- all content, text and photographs, are managed from the property
Occupancy Management - Reservations at the Property
INNkeeper’s user-friendly occupancy grid views seamlessly into the future or past with no limitation on the number of resorts, branches or units. Designed to enhance productivity, it motivates reservations staff to maximize and manage daily occupancy through colour coded statuses for deposit and account management.
The Occupancy view grid offers the following features:
- View from a single day up to 35 consecutive days simultaneously
- Place and manage reservations by mouse drag and drop
- Reservations are never deleted and full guest history remains available at all times
- Staff may view photographs of room types and rates at any time
- Daily management functions are performed on the grid:
- Splits and room moves
- Room clean/dirty status
- Laundry management
- Luggage tags and storage
- Events and activities notes
- Extensive debtor (pit) control
Fast Reservations Process
Individual or Group bookings by Guest, Tour Operator, Travel Agent or Professional Conference Organizer, are easily processed by mouse drag or automatic multi-unit selection. Extensive rack, seasonal and special rates are client status dependent and prompted by the system. Deposit amounts and due dates are system generated.
Split bookings and booking changes are made through a simple mouse click, or drag and drop. Amendments to bookings are tracked to a change log which records date, time, staff member and key changes. Detailed notes facilities, linked to the task manager, ensures that guest requests are recorded and executed promptly by the appropriate staff.
Unlimited Folios (guest accounts)
An unlimited number of folios may be generated per reservation. Based on a client’s status the system automatically allocates multiple folios for accommodation, discount and commission, telephone bills and extras. Transferring transactions from one folio to another is done through mouse click or drag and drop.
Stock, Recipes and Service items
Reservations staff may pre-sell any stock, recipe or service items at the time of making the reservation, or on arrival at check-in. Items bought by guests from the front desk, restaurant, bar, superette or curio shop are billed to the appropriate folio linked to the booking.
Deposit Management and Automated Cancellations
Unlimited profiles for deposit amount, multiple due dates and cancellation penalties may be created and linked to unit types, seasonal periods and client statuses. The mass cancellation process automatically cancels reservations and processes penalty transactions against operators or agents if cancellation policy is ignored.
Waiting List
Clients may be placed on a waiting list for a specified future allocation, or for up to three alternate client specified allocations, as units become available.
Property Management - Rooms, Venues and Rates
Unit (Rooms) Management
INNkeeper provides for detailed unit management with extensive unit information and photographs. Reservations staff are empowered to accurately present and sell property with confidence. Photographs assist staff in verbalising the ambiance of the property in telephonic reservations. Unit detail and photographs synchronise automatically to the internet reservations system to facilitate Internet sales.
The property profile provides for:
- Unlimited branches (geographically separate resorts)
- Unlimited unit types per branch/resort, providing for:
- Rooms / Chalets / Suites
- Conference / Event Venues
- Camping / Caravan Stands
- Unlimited user defined unit categories
- Extensive information and notes on units
- Telephone and data extensions, per unit, for telephone call billing purposes
- Saflock and Vingcard door lock interface facilities
- Unlimited photographs, per unit type, which automatically update to the WebRes internet reservations system
- removing rooms from the grid for maintenance purposes
Rates and Deposit Management
INNkeeper provides an extensive rate management system with rack, seasonal, special and advanced rates.
Rates are expeditiously managed and may be adjusted:
- by season, by day of week, with an adjustment by currency value or percentage
- by special advanced rules with multiple category levels
- by limiting application of rates to user defined:
- client statuses and classes
- single or combinations of unit types
- booking packages
- seasons and date ranges
Rates are linked to user defined:
- ledger sub-accounts for yield management purposes and comprehensive financial reporting
- levy rules for ‘on top’ or ‘absorbed’ state and industry imposed levies
Booking Packages
Packages provide for limitless combinations of stock, recipe and service items, and may be pre-sold when making reservations, or charged at the front desk on check-in. INNkeeper’s unique quantity multiplier facilitates fast and accurate processing of packages for group, conference and event reservations.
Demographics and Statistics
Reservations and front desk staff are able to link reservations to geographical, marketing and advertising sources as well as establishment features. Nationality links and unlimited user defined client groupings provide valuable statistics for future marketing strategies.
